Analyst - Advisory Services/Legal

Overview

The Analyst, Advisory Services role is responsible for providing critical administrative support to a team of real estate professionals. This position provides organizational, administrative, and analytic support to the Situs organization.

Responsibilities


  • Inventory and organize lease documents received.

  • Set up all commercial lease projects in K2.

  • Maintain abstractor availability spreadsheet.

  • Assist in allocation of jobs to team members based on job size, complexity, due date, scheduling conflicts and client preferences.

  • Draft assignment emails to abstractors for approval by Director.

  • Maintain a missing documents list during project and relay to client.

  • Maintain a Job Tracker spreadsheet for each abstract project.

  • Consolidate final product to client, including spreadsheets, additional schedules and issues lists.

  • Prioritize overlapping work assignments.

  • Organize leases for printing and abstractor pickup.

  • Assist in the tracking and collection of contractor invoices and availability.

  • Keep track of project start dates and vital deadlines.

  • Liaison between contractor and IT with RDS or login issues

  • Support underwriting team in analyzing, downloading and organizing client project data

  • Maintain project pipeline and responsible to senior management for all status updates, reports and ad-hoc analyses

  • Compile information and prepares Insurance Request Reviews for insurance consultant

  • Prepare rent roll and Estoppel reconciliation templates for uploading to the underwriting system

  • Process Tenants-In-Common Interest (TIC) transactions

  • Run Nexis/Lexis to verify information of record and detect any negative issues

  • Perform data entry for specific sections of the due diligence deliverables, such as checklist and borrower information

  • Prepare Committee, Securitization and Servicing files when transaction is approved and ships final deliverable of documents and reports for presentation to Committee, Banker and/or Servicer

  • Recommend and establishes processes and procedures that improve operational efficiency


 Skills & Experience

   

  • Minimum 1-3 years administrative experience

  • Past experience in process improvement and/or project administration

  • Excellent written and verbal communication skills

  • Advanced problem solving, organizational and analytical skills

  • Proficient in MS Office Suite including Outlook, Excel, Power Point and Word

  • Preferably have a legal background, experience working in law firm

·    Bachelor’s degree

·    Preferred fields of study include Accounting, Finance, Real Estate, Business, Legal
